Booking Terms
Deposits, cancellations, insurance, and the promises we make to each other.
A short note before the terms
We have written this in plain language, because the most important transactions between us are made in trust, and trust does not survive small print. If anything below is unclear, please write to us before you confirm your tour, and we will explain it. Every clause here is a promise, from us to you and from you to us. We take promises seriously.
1.Deposit
To confirm any tour with Ohalik Travel, we ask for a non-refundable deposit of 25 per cent of the total tour price. The deposit secures your dates, your accommodation, your domestic flights and trains, your vehicles, and your guides. It is non-refundable because we commit it to our partners on your behalf at the moment of booking. We do not hold it in reserve.
For bespoke private journeys above USD 10,000 per person, the deposit may be staged. We will agree the schedule with you in writing before confirmation.
2.Final payment
The balance of 75 per cent is due 45 days before the start of your tour. We accept bank transfer in USD, EUR, or GBP. We do not accept credit card payments directly, because the card processing fees in our region are very high and we do not believe in passing them to you without your knowledge. If you require card payment, we will issue an invoice through a third-party processor, and the processing fee, typically 3.5 per cent, will be added.
For tours confirmed within 45 days of departure, the full payment is due at confirmation.
3.Cancellation by the traveller
If you must cancel, please tell us as soon as you know. The earlier you tell us, the more we can recover from our suppliers, and the more we can return to you. Cancellation charges are calculated from the start date of the tour, as follows:
- More than 60 days before departure: the deposit is non-refundable; all other payments are returned in full.
- 60 to 45 days before departure: 35 per cent of the total tour price is retained.
- 44 to 30 days before departure: 60 per cent of the total tour price is retained.
- 29 to 15 days before departure: 80 per cent of the total tour price is retained.
- 14 days or fewer, or after the tour has begun: 100 per cent of the total tour price is retained.
If you must shorten a tour after arrival, no refund is possible for unused services. We will do our best to recover what we can from our partners, and what we recover, we will return to you.
4.Cancellation by Ohalik Travel
We reserve the right to cancel a tour in cases of force majeure, including but not limited to war, civil unrest, border closures, pandemic, natural disaster, or any event that we judge to make the tour unsafe. In such cases, we will offer you the choice of:
- (a) postponement to a later date with no penalty;
- (b) a different tour of equivalent value; or
- (c) a full refund of all payments made to us, less any non-recoverable third-party costs already incurred on your behalf, which we will document for you in full.
We do not cancel a tour for low group size unless we have told you so explicitly in writing at the time of confirmation.
5.Travel insurance
Travel insurance is mandatory for every traveller on every Ohalik tour. You must have, at a minimum, cover for:
- Medical expenses and emergency repatriation: with a recommended minimum of USD 250,000.
- Trip cancellation and curtailment: for the full value of your tour.
- Loss or damage of personal belongings: including photographic equipment if you travel with valuable gear.
- The activities in your itinerary: at the relevant altitudes and terrain. If you join a trek above 4,000 metres, please confirm your policy covers high-altitude trekking.
We do not sell insurance. We are not licensed to do so. We recommend that you arrange your policy in your country of residence, with a provider you already trust, and that you do so within seven days of paying your deposit, when most policies still cover pre-existing medical conditions.
We will ask for a copy of your insurance certificate before departure. We do this for your safety and ours.
6.Visas and documents
You are responsible for ensuring your passport is valid for at least six months beyond the end of your tour, and that you hold the correct visas for each country on your itinerary. We are glad to advise. We will send you a country-by-country visa briefing at the time of confirmation. We will write a letter of invitation when one is required.
7.Health
You are responsible for confirming with your own doctor that you are fit to travel. If your itinerary includes high altitude, please tell us in advance about any cardiovascular, respiratory, or other condition that may be affected. We will design around it where we can. We carry a satellite phone and a first-aid kit on every remote departure. We do not carry medication for personal conditions.
8.Changes to the programme
We reserve the right to make small adjustments to an itinerary when local conditions require: weather, road closures, the unexpected closing of a monument, or the arrival of a religious holiday. We will always tell you. We will always propose an alternative of at least equivalent quality. We will never reduce the substance of what you have paid for without your agreement.
9.Complaints
If anything is not right during your tour, please tell your guide first. Most problems can be solved on the spot. If a problem cannot be solved locally, please write to Abdu directly at abdu@ohalik.com. We answer every complaint within seven working days. We treat them as gifts, because every honest complaint makes us better.
10.Our commitment
We are a small company. We know the people we work with by name. We will look after you the way we look after the friends who come to our own table. If we make a mistake, we will say so, and we will fix it. We expect the same of you.
